Creating a XPLAN Diary Event
The XPLAN Diary can be an excellent resource for organising your schedule, including client meetings.
A few great features of XPLAN’s Diary are the option to:
1. Create diary templates for events that you schedule often e.g. client review meetings,
2. Create recurring events e.g. for weekly team meetings
3. Generate email or SMS reminders for attendees of the meetings
4. Create agendas
5. Show client reviews and,
6. Synchronise your Xplan Diary with another Calendar e.g. Outlook, Gmail.
To access the Diary go to: Xplan > Diary & Workflow > Diary.

Click on your diary and select ‘Add New Event’ to create an event.
At a minimum, you must enter the Title, Date and Time.
Tip: Selecting a ‘Category’ is an easy way to colour-code your events so you can easily identify similar types of events. E.g. all Training events appear as Orange in your Diary.

If you wish to invite other users or advisers do this via the ‘Attendees’ tab. This tab also allows you to book resources and specify locations for the meeting.
To link the event to a client, select the ‘Client’ tab and select the client entity.
Note: You will then be able to access the event via the client entity.

You also have the option to attach documents to the event for your meeting via the ‘Attachments’ tab e.g. Performance Reports, and create agenda templates via the ‘Agenda’ tab.
The ‘Outcomes’ tab allows you to select actions based on whether the meeting is held or not held. For example, If you have an event for a new initial client meeting, you could have an outcome to activate a Statement of Advice Task or a new client thread, if the meeting is held.
Tip: Diary events provide verification of client meetings; they can be used as an audit trail for compliance purposes.
